Custom Document Folder Management

Admins can now create, rename, and manage custom folders for patient documents directly in Admin Settings.

You're no longer limited to Symplast's default document categories. Practice admins can now create, rename, and organize their own custom folders for patient documents, right from Admin Settings.

What's included:

  • A new Document Folders page under Admin Settings → Patient File, where admins can view all folders — both system defaults and their own custom ones — in one searchable list.
  • Full control over custom folders: create a new folder, give it a display name your staff will recognize, and rename it any time.
  • System folders (like Labs, Radiology, Pathology, Clinical Notes, and Pre-Op Instructions) stay protected and read-only, so core clinical categories can't be accidentally changed or removed.
  • Built-in safeguards: a folder can't be deleted while it still contains files, preventing accidental data loss.

Why it matters: Practices can finally organize patient documents the way they actually work, without waiting on Symplast to add a new category. Available on WebApp.

Primary Care Provider Management

Managing your practice's outside providers just got easier. The new Provider Management section in WebApp lets you add, edit, and maintain your primary care and referring provider directory without leaving the admin experience. Once you've built your list, you can associate a PCP with a patient for easy reference.

What's included:

  • A dedicated admin page for adding new providers with Name and NPI — no need for a full user account, since these are directory entries, not system users.
  • Quick search across your provider list by name.
  • Easy editing any time a provider's information changes.
  • The ability to deactivate a provider you no longer work with — they're removed from patient-side selection lists (Referring, Affiliate, and Primary Care dropdowns), while any patient records that already reference them stay untouched.
  • Associate a PCP with each patient so this information is part of their record for easy reference

Why it matters: Front desk and admin staff can keep an accurate, up-to-date provider directory in-house, cutting down on outdated or duplicate entries in patient records. Available on WebApp.

Hide Inactive Patients

Your patient search shouldn't be cluttered with people you no longer see. You can now hide inactive patients from search results and appointment scheduling, so only your active patients show up — keeping day-to-day workflows fast and focused.

What's included:

  • A "Hide inactive patients" filter in patient search across Practice App (iOS) and Windows. It's off by default, so search shows all patients (inactive ones clearly marked with a circle indicator); users opt in to hide them.
  • The same filter applies when scheduling an appointment and across Financials (estimates, invoices, payments, credit notes, saved cards), so inactive patients are hidden there too.
  • A per-user preference that's sticky — once set, it persists across logout/login and syncs across every patient search view.
  • A built-in reactivation prompt: selecting an inactive patient (for example, while scheduling) prompts staff to reactivate them on the spot if they've returned.

Why it matters: Practices with large numbers of inactive or archived patients get a cleaner, faster search experience and fewer mis-selections — no more accidentally pulling up or booking the wrong patient. Available on iOS and Windows.
